Packs / Core Operations Pack

Core Operations Pack

A simple routine for the day and the week, for any team that shares the work.

Start the shift well. Check the things that matter. Hand over properly. Jot jobs down as they come up, give each one an owner and a date, and look back at the end of the week to see what keeps happening. It works in a kitchen, a warehouse, an office, a shop or on site: anywhere people share the work.

  • 14 working sheet designs
  • 5 tabbed dividers
  • Worked example
  • Plain-English guide
  • A4 and A5 binders

Who it's for

Written for the person who runs the day.

  • Team leaders, supervisors and shift managers
  • Owners who run the day themselves
  • Anyone who's tired of hearing 'nobody told me'

What it helps you do.

  • Problems get written down the day they happen, with an owner and a date
  • Handovers are said out loud and written down, not left to memory
  • A weekly look back shows what keeps coming up
  • You can hand a job on with a clear result and a date, and see who's carrying what
  • Quick Capture pages take the place of sticky notes: jot it down fast, then move it to a log

A worked example

A day with the pack.

Every pack includes a made-up example, with the sheets filled in, so you can see how they fit together before you start.

Start of shift

The handover says the loading-bay door latch isn't holding. It goes under 'Must know first' and gets said out loud.

During

A check fails: a pallet is blocking a fire exit. It's moved, noted, and logged as an issue with an owner and a date.

End of shift

Everything's handed over face to face and in writing, safety first.

Friday

The weekly review shows blocked exits three times this month. One action, one owner, one date.

Questions people ask

The answers, whether or not you buy the pack.

What should a shift handover include?

Start with anything unsafe or closed off. Then jobs in progress, problems, and anything running low. Say who's covering what and who to ask. Keep it to what the next person needs to act on. The Shift Handover sheet in this pack is laid out in that order.

Is a verbal handover enough?

Not on its own. A spoken handover leaves nothing to check later, and details get lost. The habit that works is to say it face to face, check the other person understood, and write it down too.

How long should a daily huddle be?

About ten to fifteen minutes, standing up, at the same time every day. Cover safety, what happened yesterday, today's top priorities and anything in the way. If something needs more than a minute, take it away and put it on the action log.

What makes a good action?

One job, one named owner, one date. Start with a verb: 'Ask facilities to fix the loading-bay door latch', not 'look into the door'. If it has two owners, nobody's really got it. If it has no date, it's easy to forget.

How do I stop meeting actions getting lost?

Write them down during the meeting with an owner and a date, and copy them onto one list before you leave the room. Start the next meeting by going through last time's actions. The Team Meeting Record is set out to do exactly that.

How do I keep track of who's doing what in my team?

Put everyone's jobs for the week on one page with due dates, and look at it before you give anyone more. Ask people how it feels, as well as checking progress. The Team Workload Board does this on a single sheet.

How do I delegate a task properly?

Say what result you need, not just the steps. Agree what they can decide alone and what they should check with you first, and when you'll check in. Ask them to say it back in their own words. The Delegation Brief covers each of these.

About the packs

Before you join the list.

Is this A4 or A5?

Both. The packs are made for A4 four-ring binders and A5 six-ring binders, pre-punched and double-sided. The pages shown here are the A4 designs. Tell us on the waitlist which size you want; your answers help decide which size is printed first.

What paper is it printed on?

We're choosing the paper and checking the punching with a printer. The paper and hole positions will be confirmed before the first run.

How do you decide which packs get printed first?

By how many people ask for them. When you join the waitlist you can choose as many packs as you like, and tell us which one you would want first.

Can I buy the refills separately?

Yes, that's the plan. Each pack is a starter set with a few of every sheet. The ones people use up are marked as refills, and will be sold separately, so you only reorder what you use.

Where do you deliver?

The United Kingdom to start with.

Is this legal or compliance advice?

No. These are blank record sheets designed by Clare Langley. They are independent and are not published, endorsed or approved by any regulator, standards body or certification body. Using them does not make an organisation compliant with any law or standard. You decide what to record, how long to keep it and how to store it securely. Check current guidance for your own setting.
